1. Information We Collect
From dental practices:
- Business contact information (name, email, phone, practice address)
- Transaction data accessed via Plaid (merchant name, date, and amount only)
What SafeSource does NOT collect:
- Account numbers or routing numbers
- Bank balances
- Login credentials
- Line-item purchase details
- Patient information
- Ability to initiate payments
From patients:
- Directory search queries
- Standard analytics (browser type, pages visited, general location)
- Contact form submissions
2. How We Use Information
- Assess and maintain verification status for enrolled dental practices
- Maintain the SafeSource public directory
- Send verification-related notifications
- Improve the platform and user experience
- Respond to inquiries and support requests
SafeSource does not use collected information for advertising or behavioral profiling.
3. Data Retention
- Raw transaction data is deleted on a 90-day rolling basis
- Verification records are retained during active membership
- Practices may request deletion of their data at any time
4. Data Security
- AES-256 encryption at rest
- TLS encryption in transit
- Role-based access controls
- Plaid connection is read-only and revocable at any time
SafeSource does not sell or share data with third parties for any commercial purpose.
5. Third-Party Services
SafeSource uses Plaid Technologies, Inc. to establish read-only connections to practice business accounts. Plaid's use of your data is subject to Plaid's own privacy policy.
6. Patient Information
SafeSource never accesses patient records, treatment histories, or protected health information. Our verification process is limited to supply sourcing documentation and does not involve clinical or patient data of any kind.
7. Your Rights
You may:
- Request a copy of the data we hold about you
- Request correction of inaccurate information
- Request deletion of your data
- Revoke Plaid access at any time through your account settings

Terms of Service
The short version
- We check whether your supply purchases come from authorized distributors, and publish your Verified status if they do.
- We see merchant names, dates, and amounts through Plaid. Nothing else, and we never move money.
- Verification is not a safety, quality, or compliance certification.
- Billing is annual. Cancel anytime from your dashboard; it takes effect at the end of your paid year.
- If something looks off, you get 30 days to sort it out before anything changes.
- Fees never influence outcomes.
- Disputes go to arbitration in Austin, not court.
This summary is for convenience. The terms below are what govern.
1. About the Service
SafeSource Dental, LLC ("SafeSource") operates a verification program for dental practices. We review merchant-level purchase data to assess whether a practice sources clinical dental supplies through authorized distributors, and we publish a positive-only Verified designation and the practice's signed Pledge of Record for patient reference.
These Terms govern your use of the service. By enrolling, you agree to them and to the SafeSource Marketplace Sourcing Pledge you sign at enrollment. Together, those two documents form your agreement with us.
2. Eligibility
The service is for licensed dental practices in the United States with a valid NPI. You must be authorized to bind your practice, and the payment card you connect must be one your practice uses for supply purchases.
3. Plaid Data Connection
You connect a business account through Plaid. SafeSource receives merchant name, transaction date, and transaction amount only. We do not receive account numbers, credentials, balances, or line-item detail, and we cannot move money.
You may disconnect at any time. Verification depends on an active connection; if it lapses, we'll ask you to reconnect before your status is affected.
4. Verification
We compare your purchase data against our list of authorized distributors and our internal program criteria. Verification reflects sourcing patterns during the verification period. It is not item-level, and it does not review every purchase.
Verified status lasts twelve months and expires unless renewed.
5. Check-Ins and Remediation
If a purchase needs a closer look, we send a check-in. Your Verified status stays active while it's open. You have thirty days to respond — classify the transaction, provide refund proof, or attest that a first-occurrence charge was a mistake. A first-occurrence attestation closes a check-in; a second occurrence within twelve months requires refund proof.
Most check-ins resolve with no change to your listing.
6. Disputes and Appeals
If you believe a determination is wrong, email hello@safesourcedental.com with the transactions in question and any context. We'll review and respond. Our determination after appeal is final, subject to Section 14.
7. Seal Use
While verified, you may display the SafeSource seal on your website, in your office, and in patient materials, linked to your directory listing.
You may not alter the seal, use it after your verification ends, imply SafeSource endorses your clinical care, or suggest verification is a safety or quality guarantee. If your status ends, remove the seal within ten business days.
8. Independence of Verification Outcomes
Verification status is determined by sourcing review, not by payment. Fees cover monitoring and administration. They do not influence outcomes.
We accept no compensation from manufacturers or distributors in exchange for verification decisions.
9. Fees, Billing, and Cancellation
Membership is billed annually in advance. Current pricing is on the Membership page. Subscriptions renew automatically on the anniversary of your enrollment.
Cancellation. You may cancel at any time using the cancellation control in your practice dashboard. Cancellation takes effect at the end of your current paid year: you keep verified status and access through that date, and no renewal charge is made. To avoid renewal, cancel before your renewal date. Fees already paid are not refunded.
10. Suspension and Termination
We may suspend or end your membership if your sourcing no longer meets program criteria after the thirty-day cure period in Section 5, if you misuse the seal, if you provide materially false information, or if you fail to maintain the data connection needed to verify.
We may also end your membership for any reason on thirty days' written notice.
Suspended and ended practices are removed from the patient-facing directory. We may keep an archival copy of your signed Pledge and a record of the verification period that applied. Termination does not entitle you to a refund.
11. Disclaimer of Warranties
THE SERVICE, THE VERIFICATION MARKS, AND THE DIRECTORY ARE PROVIDED "AS IS" AND "AS AVAILABLE," WITHOUT WARRANTY OF ANY KIND, EXPRESS OR IMPLIED. TO THE MAXIMUM EXTENT PERMITTED BY LAW, SAFESOURCE DISCLAIMS ALL WARRANTIES, INCLUDING IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, TITLE, AND NON-INFRINGEMENT.
We do not warrant that the service will be uninterrupted or error-free, that transaction data obtained through Plaid will be complete or continuously available, that every merchant will be correctly identified, or that any specific product used in patient care was sourced from an authorized distributor.
Verification is limited in scope and time. It is not a certification of legal compliance, clinical safety, product authenticity, or treatment quality.
12. Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW, SAFESOURCE AND ITS OWNERS, OFFICERS, EMPLOYEES, CONTRACTORS, AND AGENTS ARE NOT LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES ARISING FROM THE VERIFICATION PROGRAM, including:
- patient harm, injury, or adverse outcome connected to dental products or treatment, regardless of verification status;
- claims arising from a practice's use of dental products, however sourced;
- reliance by patients, insurers, or third parties on the seal as a guarantee of safety, outcomes, or product performance;
- damages arising from a practice's misrepresentation of its verification status;
- business loss or reputational harm from a status change made under these Terms.
Our total liability for direct damages will not exceed the fees you paid us in the twelve months before the claim.
13. Indemnification
You agree to indemnify and hold harmless SafeSource and its owners, officers, employees, contractors, and agents from third-party claims, damages, losses, costs, and reasonable attorneys' fees arising out of your use of the Verification Marks, your misrepresentation of verification status, patient harm or proceedings arising from care you provide, or your breach of these Terms.
This does not apply to the extent a claim results from SafeSource's gross negligence or willful misconduct.
14. Governing Law; Arbitration; Waivers
14.1 Governing law. These Terms are governed by the laws of the State of Texas, without regard to conflict of law principles.
14.2 Arbitration. Any dispute arising out of or relating to these Terms, the verification program, or the SafeSource Marketplace Sourcing Pledge will be resolved by binding arbitration administered by the American Arbitration Association (AAA) in Austin, Texas, under its Commercial Arbitration Rules. Judgment on the award may be entered in any court with jurisdiction. This provision is intended to be consistent with the dispute resolution provisions of the Pledge.
14.3 Jury trial waiver. TO THE FULLEST EXTENT PERMITTED BY LAW, EACH PARTY KNOWINGLY, VOLUNTARILY, AND IRREVOCABLY WAIVES ANY AND ALL RIGHTS TO A TRIAL BY JURY IN ANY COURT PROCEEDING BETWEEN THE PARTIES ARISING OUT OF OR RELATING TO THESE TERMS, THE VERIFICATION PROGRAM, AND/OR THE TRANSACTIONS CONTEMPLATED HEREBY.
14.4 Class action waiver. TO THE FULLEST EXTENT PERMITTED BY LAW, EACH PARTY AGREES THAT ANY DISPUTE WILL BE BROUGHT SOLELY IN THAT PARTY'S INDIVIDUAL CAPACITY, AND NOT AS A PLAINTIFF OR CLASS MEMBER IN ANY PURPORTED CLASS, COLLECTIVE, CONSOLIDATED, OR REPRESENTATIVE PROCEEDING. The arbitrator may not consolidate more than one party's claims or preside over any class or representative proceeding. If this Section 14.4 is found unenforceable as to any claim, that claim will be severed and resolved in the state or federal courts in Travis County, Texas, and all other claims remain subject to arbitration.
14.5 Injunctive relief. Either party may seek temporary or preliminary injunctive relief in a court in Travis County, Texas to prevent unauthorized use of the Verification Marks or infringement of intellectual property, pending resolution of the underlying dispute in arbitration.
14.6 Appeals first. Nothing here limits the appeals process in Section 6, which we encourage you to use before starting arbitration.
15. Changes to These Terms
We may update these Terms. Enrolled practices get email notice of material changes at least thirty days before they take effect. Continuing to participate after the effective date means you accept the updated Terms.
16. Entire Agreement
These Terms, together with the SafeSource Marketplace Sourcing Pledge you signed, the Privacy Policy, and the Data Retention and Deletion Policy, are the entire agreement between you and SafeSource regarding the verification program, and supersede all prior understandings. If these Terms and your executed Pledge conflict, the Pledge controls as to the subject matter it addresses. If any provision is unenforceable, the rest remains in force, and the unenforceable provision will be modified to the minimum extent needed to be enforceable while preserving the parties' intent.
